Save Time
Admin eats the week when you are the whole company. Here is how to take hours back with checklists, templates, automation and AI, in that order.
Admin is the tax on running a business alone. Scheduling, onboarding, reminders, follow-ups and file wrangling add up to hours you never bill. The way to take them back is not to buy ten tools. It is to climb a short ladder, one rung at a time.
- Template it. Write the email, checklist or proposal once and reuse it.
- Schedule it. Put recurring jobs in your calendar and protect the time.
- Use what is built in. Booking pages, reminders and rules inside tools you already use.
- Connect it. Use a no-code automation to hand work between apps, with you checking the results.
- Delegate part of it to AI. Drafting and summarizing, with a person approving.
Most people get the bulk of the benefit from the first three rungs. Climb further only when a specific, repeated task justifies it.

Automation software
If you want to connect apps without writing code, two options we describe are Make (opens in a new tab), a visual automation platform, and n8n (opens in a new tab), a workflow platform aimed at technical teams that can be self-hosted. We have not hands-on tested either. They are tools for people who enjoy building workflows, not a requirement. Check that the specific apps you use are supported, understand how usage is counted, and keep a manual fallback.
See the automation section of our software directory for who each may suit and the limits to know.
