Choosing between invoicing and accounting software mostly comes down to how many clients you bill, whether you want proposals and contracts in the same place, and whether an accountant is involved. Use the questions in our comparison guide, then run one real invoice through a free trial before you commit.

Free or manual first. For a handful of clients, a spreadsheet tracker and calendar reminders is a legitimate system. Our free invoice tracker works out due dates for you.

FreshBooks

Invoicing & accounting

Cloud-based accounting software for small businesses and the self-employed. Covers invoicing, payment reminders, expenses, time tracking, estimates and proposals, and reports.

May suit you if
Solo professionals who want invoicing to be the center of the tool, with expense tracking and basic accounting alongside it.
Limits to know
Plans are tiered. FreshBooks lists its entry plan (Lite) as limited to five billable clients, and proposals and double-entry accounting reports start on the next plan up. Check the plan limits against where your client list will be in a year.
Pricing snapshot
Lite is $23/month (standard price) and covers up to 5 billable clients. Plus is $43/month for up to 50 clients; Premium is $70/month for unlimited clients. Bonsai

Invoicing & client management

Business management software for service businesses. Brings proposals, contracts, invoicing, time tracking, scheduling and a client portal into one product.

May suit you if
Freelancers and small studios who want proposals, agreements and invoices to live in one place rather than stitched together from separate tools.
Limits to know
The lowest plan (Basic) does not list invoicing; that starts at Essentials. It is broader than invoicing alone, which can be more than you need. Bonsai says it is not a law firm, so its contract templates are not a substitute for professional advice.
Pricing snapshot
Pricing is per user. Basic is $15/month ($9 if billed annually) but lists no invoicing. Essentials, the lowest plan that lists invoices, proposals and contracts, is $25/month ($19 billed annually). Zoho Books

Accounting

Cloud accounting software with invoicing, expense tracking, bank feeds, projects, reports, and connections to other Zoho apps. Zoho advertises a free plan for small and micro-businesses and a free trial of paid plans.

May suit you if
Solo businesses that want real accounting features, especially people who already use other Zoho products or expect to grow into more complex bookkeeping.
Limits to know
The free plan is for revenue under $50K per financial year and does not list bank feeds. Features and availability vary by country edition. Accounting software can feel heavier than an invoicing app if you only send a few invoices a month.

Online accounting software for small businesses with invoicing and quotes, bank feeds and reconciliation, expense claims, reports, and a marketplace of connected apps. Accountants and bookkeepers can be given access.

May suit you if
People who want proper bookkeeping, plan to work with an accountant or bookkeeper, or expect to connect many other apps.
Limits to know
As of our check of the US site, the lowest plan (Early) limits you to 20 invoices and quotes and 5 bills per month, and has no multi-currency. Plans, limits and pricing differ by country, so confirm the edition for your location.

Automation tools connect the apps you already use so routine hand-offs happen without you. They reward starting small: one simple flow, with a person checking the results. We do not claim these tools work with any specific app. Check that the apps you rely on are supported.

Free or manual first. Calendar reminders, email templates and the built-in rules inside your existing tools solve many problems without a new platform.

Non-programmers comfortable learning a visual builder who want to automate repetitive hand-offs between the apps they already use.
Limits to know
Multi-step automations take time to design and test, and they can break when an app changes. The free plan allows two active scenarios that run at most every 15 minutes, and each module action uses one credit, so check how usage is counted before you rely on it.

A workflow automation platform aimed at technical teams. Offers a visual builder with optional code steps, hundreds of integrations, and AI agent features. It can run on n8n’s cloud or on your own infrastructure.

May suit you if
Technically inclined solos who want flexibility, optional code, or the ability to host their own automation.
Limits to know
Aimed at technical users. Self-hosting means you maintain servers, updates and backups yourself (n8n’s documentation uses Docker), which is more than most non-technical independents want to take on. Check n8n’s license terms if you plan to use it commercially.

Visibility tools show how you appear in search over time. They are only useful once you have a website and content worth finding, and many are built for teams and agencies rather than one person.

May suit you if
People who already have a website and publish content, and want to see where they appear in search over time.
Limits to know
Nightwatch describes itself as built for SEO teams and agencies, so it can be more than a single person needs. It is only useful once you have a site and target keywords, and plan limits depend on how many keywords you track.
